It is all about providing a functional and comfortable experience for your guests when they choose to stay at your property. One of the key things needed for success in your new venture is having suitable equipment. From smart tech solutions to appliances, furnishings and IOTs, equipment for a particular property must make sense for its use and situation. Identifying your property niche

When deciding to enter your property into the rental market, it is important to identify what type of rental property you would like to have, a long-term or a short-term holiday rental. Your choice helps to determine the type of equipment needed. Additional factors impacting equipment choice are:

1. The type of rental property 

2. The location of the rental property. 

To be considered, is the property an apartment /condominium, townhouse? Is it in a maintained gated community? or is it a standalone villa with gardens and a swimming pool? Here is how you choose the right equipment for your rental property.

Furnishing a long-term rental property versus a short-term holiday rental property.

long-term rental property can be rented fully furnished, semi-furnished or unfurnished. A holiday rental property is a fully furnished and outfitted property that is rented on a nightly rate basis to a range of clients. A long-term rental property can be rented furnished or unfurnished, to an individual or entity for a minimum of 6 months with a signed agreement. Fully furnished entails all necessary furniture, major & minor appliances, a fully outfitted kitchen, enough linen and towels for how many people the property can accommodate. 

If any services are included in the rental agreement, it is necessary to provide the equipment for those services, e.g.– laundry, cooking, gardening, pool maintenance, irrigation systems.

Equipment choice based on location

If your property is located on or near the coastline, you may want to consider investing in stainless steel equipment for large and small kitchen appliances to combat the effects of the salty air. If your property is near a Gully, window screens would be recommended for flying insects or birds.

Is your property isolated? If so, you might benefit from a security system. If it is in an area affected by regular water outages, a water storage tank would be helpful. 

For condominium properties, choosing a stacked washing machine and dryer would aid with limited spaces. 

Must have equipment for property rentals

Do you have a generator? Depending on the type of equipment you have and how essential they are to keeping the property functioning, it is important to make note of what is run by electricity and what you might be without in the event of a power outage. Consideration should be given to having a generator to run power to these pieces of equipment. For example, electric gates, elevators, water pumps for drinking water or even sewage pumps. 

Preventative maintenance is crucial

Be proactive, not reactive.

Ensure that all equipment in your rental properties is maintained and serviced regularly. Maintenance should be scheduled in three or six months periods or annually. On May 8th, 2021 Barbados will bring into effect a new protocol that allows persons who have been vaccinated free movement in a shorter time than before. What does this mean for visitors? You arrive in Barbados, have your test done, have breakfast, have a dip in the pool, (at your private vacation villa) receive your negative COVID 19 results, and voila, you’re at one of our Top 5 recommended restaurants with hardly any time spent under restrictive movement. Before you get to roaming the Barbados countryside, here are the full details for the new Barbados Travel Protocols for fully vaccinated persons.

What’s a fully vaccinated person?

A fully vaccinated person has been classified by the Barbados Government as having received an approved vaccine in a two-dose regime and has received both doses plus 14 days, or a one-dose regime, one dose plus 14 days. Your vaccination status will be fact-checked by the Barbados Government and persons who do not meet the criteria will fall under the travel protocol for unvaccinated persons. That’s not a terrible thing, it may be a slightly longer wait but the safety of Barbadians and visitors alike has always paramount. However, if you are looking forward to the roaming of said countryside, being fully vaccinated certainly fast tracks you there… ahem, as do our Concierge Can team

How it Works – The New Protocol for Fully Vaccinated Persons

1. Have your vaccination single or double completed + 14 days. Ensure you receive certification from the medical fraternity.

2. Bring to Barbados your PCR test that is negative within the last 72 hours. Ensure you have copies of your certified negative results.

3. Within 24 hours of arrival in Barbados, you will take a rapid test or a classic PCR test. After this, you will have limited movements. (Government has put new measures into place to handle high volumes)

4. Receive negative results of your COVID 19 test and restaurants and roaming will be open to you asap.

Moor in Barbados

Coming aware from my meditation, I sit on one of the most fantastic beaches in Barbados. I look around and there are family bubbles, swimmers, and joggers. People are happy. What stood out the most for me, were the yachts that were moored on the horizon, and the sense of peace. Suddenly I was (even more) grateful and wanted to share the experience with those moored at their home ports and unable to travel. If you miss the salt on your face, endless leagues of blue and you need respite; my friends, there is that and more in Barbados.

 

Life on the beach

It is on one of my daily jaunts to the beach, that I realise that there is freedom on the water and happiness in the things that you can do together as a family. While yachts bob on the horizon, the sun sets to the tune of freedom. A gentleman is doing a mini-triathlon – without the cycling (Ok, he’s running and swimming), the cutest baby is exploring a sandcastle, little girls are dancing on the water’s edge, and the health and wellness buffs are on the third rep of pushups, squats or sit-ups. The selfie crowd is taking advantage of the golden glow of the sunset. Pout. Pose. Pic! It’s life on the beach at its socially distanced best.

Beach Hopping – South to West

Truthfully, I beach hop a lot, there are different things I love about different beaches. At Silver Sands beach, the kite surfers dot the horizon and I enjoy the beauty of sunrise in the morning while they perform amazing feats. Silver Sands beach is just off the Atlantic Ocean, it’s a bit more rugged, not ideal for sea bathing unless you know the spots to go to. What I love is the wide beach which is perfect for long walks and exploration. A trip further down the south coast to Accra Beach brings you to the boardwalk and over 2 miles of beach to spend some family time and maybe grab a burger from the holy grail of eateries Chefette. My favourite though I must admit is the West Coast, my meditation spot. It’s a wide beach with calm man-made rock inlets for younger children to swim (Accra as well) and it’s so expansive, you easily find a spot to social distance. Close to Speightstown, I can grab some of the best freshly baked turnovers on the island from the PRC bakery and pick up groceries from the nearby supermarkets. I can pre-order for curbside pickup something healthier from ‘Orange Street Grocer.’ More so, I can enjoy time to rejuvenate in the outdoors.

 

Moor in Barbados, you decide

My love for Barbados and its world-famous beaches makes my job as a holiday home expert soul-satisfying. Barbados Racing Towards Herd Immunity

In our Blue Sky Luxury blog titled “Barbados Receives Vaccines” we shared the news of the generous donation of 100,000 doses of the Oxford-AstraZeneca vaccine from India on February 10th. By February 17th the vaccination programme was well underway with government officials and frontline workers receiving the jab. Our update today March 11, 2021, highlights Barbados is racing towards herd immunity for all Barbados residents.

Progress of Barbados’ Vaccination Programme

Although the daily numbers change, over 50,000 people—over 20 percent of the adult population of Barbados have received the first dose of the vaccine. Notably, this has been done in just a few weeks. Barbados leads the way in the vaccination process in the Caribbean. Currently, Barbadians over 18 are receiving the vaccine through a well-organized rollout by the National COVID-19 vaccination committee. The Barbados Government continues to invest in the future of our country and has taken the position that the vaccine will be distributed for free to all residents of Barbados. As a country, it is in our interest to get to herd immunity as quickly as possible, as our economy is so highly tourism dependent.  While the elderly, those with comorbidities were the first to receive the jab, the villa workers at Blue Sky Luxury were included with the other front line workers on the priority list.  As a tourism dependent economy and country, the reopening of tourism is critical and the only path to that is a fully vaccinated population.  We have had generous support from friends of Barbados through donations and continue to raise funds to support this goal. Myth-busting and the COVID-19 Vaccine

From 5G chips building Nanos in host bodies, to the vaccines not offering protection, there have been crazy stories on whether the jab is a giant hoax like Milli Vanilli (We still love Girl You Know It’s True by the way.) So far in Barbados, the robots have not taken over and the Prime Minister herself made a compelling statement to the press.

  “I know that there are some people who have been doubtful. I think that more and more people are realising, well look, if 25,000 people have been vaccinated and everybody good, then a lot of what you are hearing on social media and a lot of these stories and things are an exaggerated version.”

On the international scene, The Daily Mail shared a report which stated that “A single jab of either Pfizer or Oxford-AstraZeneca vaccine is giving 90 PER CENT protection in huge boost to Britain’s world-beating rollout.”  John Hopkins Center for Health Security carried the following update as well in their March 2, 2021 newsletter. “New Data Show Vaccines Reduce Severe COVID-19 in Older Adults (Public Health England) Today Public Health England (PHE) has submitted a pre-print of a real-world study that shows that both the Pfizer and Oxford-AstraZeneca vaccines are highly effective in reducing COVID-19 infections among older people aged 70 years and over. Since January, protection against symptomatic COVID, 4 weeks after the first dose, ranged between 57 and 61% for one dose of Pfizer and between 60 and 73% for the Oxford-AstraZeneca vaccine.”

Finding the right Property Management Software Solution

The need for companies to embrace technology is becoming more and more important. Property Managers must have the ability to work remotely as the demands of the job require them to be out of an office regularly. The restrictions put in place by Government during the COVID-19 pandemic have brought this need to the fore. After completing the research and testing, Blue Sky Luxury has fully invested in a web-based property management software solution.

 

 

Why invest in a Property Management Software Solution?

Blue Sky Luxury recognizes the benefits of having information about each of the property located in one centralised place. It is a much more efficient way to store and access information.  Everything from owner contracts, leases, inventory lists and owner contact details can be stored here.

Each home under our management is added to the software, where preventative maintenance schedules and routine inspections are set up and scheduled.  Any issues noticed while doing routine checks by the Property Manager are logged as work orders. These work orders will then be assigned to various contractors or on-site staff. The job is then monitored and tracked during the resolution process through to completion.  The logging of these issues is done immediately at the property, as this software is coupled with a mobile app for both iPhone and Android devices. This makes it easy for Property Managers to submit work orders on the spot.  Digital photos can also be attached to these work orders for reference.  All corrective and preventative maintenance is captured and as the work progresses, updates are added as well as photos if needed (all digitally time-stamped).  Vendor profiles are set up so that they can be assigned to each work order and this can be tracked as well.  Quotes and other documents can be saved, and various reports are available to track to the completion of any work. This ranges from pending, active and closed work orders in progress at any property, at any point in time.

As a reference, checklists have been generated in the software system. These include health & safety checks, guest/owner arrival preparation, hurricane preparedness and COVID-19 cleaning and sanitising checks.  Once submitted in the app, the checklist is stored (date and time stamped) for reference and any corrective action to be taken is logged as a work order.  This has become even more important with the newly implemented protocols by the Government regarding COVID-19 and the requirements for sanitising and cleaning measures that have to be followed and completed.  These checklists are also saved for audit purposes.

The coordination required to ensure that all information is always live can be very time-intensive. Having a solution that allows the Property Manager to assess issues at a holiday rental home is very important. A Property Manager or an owner may need to be able to:

Work orders (service records) will be maintained for reference and can be used to support forecasting maintenance expenses and plan for fixed asset replacements.  Since the software has now become a ‘home’ for all information and records regarding property-related repairs and preventative maintenance, it is a much more efficient way to report to an owner on what is happening at their property.

Putting the proper preventative maintenance processes, systems and checks in place will ensure that the property is well maintained and always ready and welcoming for any arrival.

  1. Upon appointment for management, your Blue Sky Luxury property manager will assess the service requirements of all systems, appliances and equipment at the property. This includes frequency (weekly, monthly, quarterly, annually).
  2. Quotations are requested from select suppliers and site visits to the property will be facilitated by the property manager who will also answer any queries.
  3. Due to the size and scale of the properties being managed by Blue Sky Luxury as a whole, quotations will be sourced for contracted services at the best possible price, quality and reliability.
  4. Maintenance contracts and service level agreements will be determined. Once appointed, the oversight of these suppliers will be the responsibility of Blue Sky Luxury to ensure timely and complete delivery.

 

Blue Sky Luxury is heavily invested in technology and the property management department has directly benefitted from this,  we use specialized property management software. All preventative maintenance schedules, routine inspections, work orders and service requests are logged to track and record the resolution of maintenance issues from submission, assignment, monitoring and through to completion (with time-stamped digital photos if needed).  The software also has a mobile app for both iPhone and Android devices making it easy for the property managers to submit these work orders. Each individual home under our management (whether rented or strictly for owner use) is added to the software.

 

Why is preventative maintenance so important?

The investment of having a home in Barbados for owners is significant. Blue Sky Luxury, along with the reputable suppliers, have a responsibility to advise and guide owners on the best systems to put in place to improve and prolong the life of the appliances and equipment at the home.  Having these systems will improve the performance of the equipment as well as the health and safety of the home in general.

Forecasting and budgeting expenses is made easier with proper, consistent, proactive programs in place. Thorough records including a full asset register for all equipment and appliances using photos, purchase dates, supplier and warranties are also kept. A periodic review of these preventative maintenance programs is also needed to ensure price competitiveness and updated practices are introduced.  For these reasons, but not limited to this, the transparency of contractor pricing is so important here; Blue Sky Luxury will ensure that the contractor is paid what they charge you; there is no mark-up applied to the bill by our firm.  This is validated further by ensuring that all owners have access to every one of their invoices including those for maintenance when monthly financial statements are made accessible to them.

 

What are some examples of equipment and services that should be included in your preventative maintenance plan for your home?

The type of equipment, location (consider the exposure to various environmental elements), the age of the equipment and how often it is used are all taken into account when developing these programs. For example, for a holiday rental home that is occupied 250 nights a year, the recommended air-conditioning servicing may be quarterly for various split system units. However, an owner use home (non-rental) that is occupied 90 days a year may have a servicing schedule of twice per year. 1. Do you know what the process is for having your holiday home approved for quarantine for you or your guests?

The Barbados Government has a very clear, set process on how this can be achieved. It requires various correspondence with both the Ministry of Tourism and the Ministry of Health and most importantly, it requires that a local property management company must be appointed for the home.

 

2. Do you need help registering your holiday rental home with the Barbados Tourism Product Authority (BTPA)?

Following the Tourism Levy Act, all tourist accommodations are required to be registered with the BTPA. Blue Sky Luxury has taken an active stance in providing information to our owners and guiding and ensuring they are compliant with this Act. There is specific information that is needed to complete this registration including providing the Tax Identification Number (TIN) for the property.

 

3. Do you need help registering your property to obtain your TIN with the Barbados Revenue Authority for Shared Economy Levy?

Any property in Barbados that offers short-term rentals, must charge their guests a shared economy levy which is collected and then subsequently filed and remitted to the BRA. To do this, a TIN must be assigned to the property by submitting the registration in the Tax Administration Management Information System (TAMIS) and providing the necessary documents to the BRA. Blue Sky Luxury offers this service to owners within our portfolio. While some other property management companies may refer owners to an accountant to provide this service, you do not need one for this; once we are appointed as the property manager for the home, we take on this responsibility on behalf of our owners.

 

4. Do you know that if you own a home and you do not offer it for holiday rental that you can still apply to get the property approved for quarantine for your stay?

5. Do you know there are other options for security (including technological solutions) other than hiring security guards?

Blue Sky Luxury works in conjunction with a security monitoring firm that offers various security solutions on a temporary, as-needed basis specifically for quarantine purposes. We will arrange for a site visit to determine what will work best for your home. Alternatively, the property can be monitored by a security guard, and Blue Sky Luxury works with reputable companies who offer our owners and guests preferred rates.
